Administration Manager | Commercial Construction
Salary:$32–$35/hr + Super + Bonuses
Hours: 9am - 5pm Monday - Friday
Location: Keysborough
 
THE COMPANY
A well-established construction company with over 30 years of expertise in designing, building and maintaining  customised food facilities and cool rooms is seeking a confident and versatile Administration Manager to join their team. Known for delivering end-to-end solutions tailored to client needs, the company has built long-standing partnerships across the food and beverage sector. This is a full-time role offering the chance to play a key part in a respected and collaborative team.

THE ROLE
As Administration Manager, you’ll take the reins on all things operational in the office, supporting both construction activity and import coordination. Your responsibilities will include:
  • Handling inbound calls and communicating with clients, suppliers, and site crews
  • Creating and processing purchase orders and supplier invoices using MYOB
  • Drafting and issuing client invoices
  • Maintaining and updating job binders, SWMS, inductions, and tender documents
  • Coordinating inventory orders and overseeing materials tracking
  • Using Excel for data entry, project tracking, and internal reports
  • Organising and improving office systems, including database clean-up and streamlining
  • Supporting marketing and social media content
  • Reporting directly to the Director, and working closely with the Assistant
 
ABOUT YOU
You’re someone who brings structure to chaos, keeps people on track, and gets the job done. Ideally, you’ll have:
  • Experience in administration or office management, ideally in construction or trade
  • Strong skills in MYOB and Excel
  • A confident, calm approach when dealing with trades, suppliers, or clients
  • A knack for identifying inefficiencies and improving systems
  • Some exposure to importing or freight logistics - not essential, but a plus
  • Clear communication skills, good judgement, and a practical mindset
  • Based in South-East Melbourne and available for full-time, on-site work
