Administration Assistant - Construction

Melbourne, North-East Location

Are you a motivated and organised individual? With a passion for learning and providing administration support to assist in operation efficacy? As an administrative support assistant, you will be working alongside a Design Team to assist with projects as well as supporting the Director, Project Managers, and Employees through a variety of tasks related to each operation. Responsibilities:

  • Set up project information using the company's project management database software
  • Document control of project files and co-ordinate with client
  • Assist in the management of resource planning
  • Prepare essential reporting requirements for approval
  • Preparation of project claims and invoices
  • Send approved invoices to clients and follow up on overdue invoices
  • Assist in budget planning and forecasting
  • Answering and directing phone calls to relevant staff
  • Scheduling meetings and appointments
  • Taking notes and minutes in meetings
  • Being a point of contact for a range of staff and external stakeholders
  • Preparing documents for meetings and site visits
  • Greeting and directing visitors and new staff to the Design Team
  • Identify and suggest improvements in administrative processes
  • Additional administration ad-hoc duties when required

  • Intermediate to Advanced proficiency in MS Office suite of products, Including Teams
  • Excellent organisational and time management skills with the proven ability to effectively prioritise work schedules
  • Experience within the engineering, construction or building sector would be advantageous
  • Certificate or Diploma in Business Administration (or similar) would be desirable, but not a necessity
